Multi Client Content Management Tools for Agencies

5/5 - (8 votes)

For most agencies, the multi-client content management tools to shortlist are Gain, Planable, StoryChief, ContentStudio, Sendible and Cloud Campaign.

Gain and Planable are built around client approvals, while StoryChief is the pick when one client workspace has to hold blog articles next to social posts.

ContentStudio and Cloud Campaign sell flat agency plans with client onboarding built in, and Sendible lets you add workspaces one client at a time.

Agorapulse, Hootsuite and Vista Social are good for agencies that also run social inboxes and reports, and Content Snare collects copy and files from clients before any of the others come into play.

We compared ten content management tools on the jobs an agency deals with every week: one workspace per client, approval rules, a shared calendar, client access that does not use up a paid seat, and permissions that keep one client’s drafts away from another client’s eyes.

Five Jobs a Client Content Platform Has to Handle

A scheduler built for one brand starts to break when you add a fifth client. Posts land on the wrong calendar, a client sees another client’s draft, and someone approves a caption by email in a thread nobody can find two weeks later. The tools in this list solve those problems in different ways, so decide which job matters most to your agency before you book demos.

Separate Workspaces for Every Client

A workspace is a walled area with its own calendar, social profiles, media library and team members. Gain defines a workspace as one client, brand or location with its own calendar, channels, folders and approval flows, and StoryChief’s Agency plan gives each client a separate workspace with unlimited users inside it. The question for your budget is how the vendor counts workspaces, because some charge for each one, some bundle a fixed number into each tier, and ContentStudio’s Agency Unlimited plan does not cap them at all.

Approval Rules That Match the Contract

Some clients want to sign off on every caption, while others only want to see campaign launches. Planable lets you set approvals per workspace as none, optional or required on its Pro plan, and its Enterprise plan adds multi-level approval for clients with legal or compliance reviewers. Gain allows any number of rounds and reviewers, sends automatic reminders, and keeps a time-stamped audit history that settles a “we never approved that” call faster than any inbox search.

Client Access Without Paying for Seats

Client seats can quietly double a monthly bill if you are not watching how a vendor counts users. Gain says clients and stakeholders never cost a seat, and they approve through a magic link without creating an account. Planable and Sendible list unlimited users on their plans, and Cloud Campaign includes a client portal on all three of its plans. Per-user tools such as Agorapulse and Hootsuite charge for each extra user at the same rate as the first, so confirm how a client reviewer is counted before you send the first invite.

A Calendar Each Client Can Read

Clients often judge your work by the calendar view, since that is the screen they open most. Planable offers feed and calendar views on Basic, adds a grid view on Pro, and adds a list view on Enterprise. The grid view matters for Instagram-heavy clients who want to see how their profile will look before the posts go live.

Permissions and Connection Without Passwords

The safest client setup never asks the client for a password. Sendible’s Client Connect lets clients grant access to their own profiles, and ContentStudio’s EasyConnect does the same job on its agency plans. Each one removes the risky habit of storing client logins in a shared spreadsheet that half the team can open.

What 10 Client Workspaces Cost on Each Plan

Entry prices on pricing pages are hard to compare, because each vendor counts clients in its own way. So we priced one common case: an agency with 10 clients that pays yearly and picks the plan that fits 10 workspaces at the lowest published cost.

Bar chart of monthly cost for 10 client workspaces on annual billing: ContentStudio Agency Unlimited $99, Gain Agency Bar chart of monthly cost for 10 client workspaces on annual billing: ContentStudio Agency Unlimited $99, Gain Agency $199, Cloud Campaign Team $285, Planable Pro $408 and StoryChief Agency $81099, Cloud Campaign Team $285, Planable Pro $408 and StoryChief Agency $810
  • ContentStudio Agency Unlimited: $99 a month billed yearly, with unlimited workspaces and 25 social accounts to start.
  • Gain Agency: $199 a month billed yearly for 12 workspaces and 6 team members, since the Starter plan covers only 6 workspaces.
  • Cloud Campaign Team: $165 a month on yearly billing for 5 brand workspaces, plus 5 extra workspaces at $24 each, for a total of $285.
  • Planable Pro: 10 workspaces at $49 each come to $490 a month, and yearly billing gives 2 months free, which works out to about $408 a month.
  • StoryChief Agency: 10 workspaces at $81 each on yearly billing come to $810 a month, and this plan also covers blog content.

The shortest bar on the chart is not always the cheapest real bill. ContentStudio starts you at 25 social accounts, so 10 clients with four profiles each would push you into its tiered account pricing. Planable’s Pro plan caps each workspace at 10 social pages and 150 posts a month, while Gain lists unlimited social accounts on every plan. Count the profiles and monthly posts for each client first, then run the same sum with your own numbers.

Best Content Marketing Platforms For Agencies

Gain: Approval Rounds Without Paid Client Seats

Gain is an approval tool first and a scheduler second. Every plan includes unlimited approval workflows with any number of rounds and people in any order, and reviewers are unlimited on every plan. Clients review through a magic link, so they never need to create an account or remember a password.

Plans are sold by team members and workspaces. Starter costs $99 a month billed yearly with 3 team members and 6 workspaces, and Agency costs $199 with 6 members and 12 workspaces. Agency also adds white label, which puts your logo on the approval screens and on the PDF reports you send to clients. Agency Premium costs $399 for 20 members and 30 workspaces. Annual billing saves 20%, the trial runs for 14 days without a card, and registered non-profits get 50% off any plan.

Planable: Per-Workspace Pricing With Unlimited Users

Planable pricing page showing Basic, Pro and Enterprise plans priced per workspace
Screenshot: planable.io

Planable charges per workspace and gives each one unlimited users. Basic costs $33 per workspace a month with 60 posts, 4 social pages and optional approvals. Pro costs $49 per workspace with 150 posts, 10 social pages, required approvals, a grid view, a public API and 30 days of version history. Enterprise adds multi-level approval, 50 social pages, single sign-on and unlimited posts at a custom price.

The trial has no time limit, because your first 50 posts are free and no card is needed. Team-only drafts let your writers work on a post before clients or approvers can see it. Analytics and a social inbox are paid add-ons for each workspace, and the pricing page lists two different rates for each one, so get a written quote if you plan to use them.

StoryChief Agency: Blog and Social in One Client Workspace

StoryChief is the only tool on this list that plans long-form articles and social posts in the same client space. That makes it a good fit for agencies that sell blog content alongside social media management. The Agency plan gives each client a separate workspace with unlimited users, 10 social channels, client approvals and feedback, and guest writer roles.

Agency pricing is $97 per workspace a month on monthly billing or $81 a month on yearly billing, which comes to $972 a year for each workspace. The Agency plan has no self-serve trial, so you book a demo with the sales team. The single-brand plans do have trials without a card, with Starter at $69 a month, Growth at $339 and Scale at $539 on monthly billing, and lower rates on yearly billing.

If your writers draft client posts with an outline such as our SEO blog writing framework, StoryChief keeps the draft, the client’s comments and the social promotion of that article in one place.

ContentStudio Agency Unlimited: Flat Fee for Unlimited Workspaces

ContentStudio pricing page showing Standard, Advanced and Agency Unlimited plans
Screenshot: contentstudio.io

ContentStudio sells one plan aimed squarely at agencies. Agency Unlimited costs $99 a month billed yearly, $119 a month billed quarterly, or $139 on month-to-month billing. It includes unlimited users and unlimited workspaces, approval workflows, client management and EasyConnect for onboarding client profiles. The plan starts with 25 social accounts, and more accounts use tiered pricing that lowers the cost per account as you grow.

White label is an add-on at $50 a month or $500 a year, while priority support, live training and a dedicated account manager come with the plan. Every plan has a 7-day trial without a card. The smaller Standard plan has 1 workspace and no approval workflow, so agencies should start their test on Agency Unlimited.

ContentStudio fits an agency with many small clients that each run two or three profiles. Ask sales for the account tier table before you sign, since that number decides your real bill.

Sendible: Client Connect and Workspace Add-Ons

Sendible gives each client a workspace with 6 social profiles, and you can spread those profiles across workspaces as you like. Every plan has unlimited users. When your client roster grows, you can add a workspace for $35, or $15 on Enterprise, without moving to a bigger plan.

Plans start at $35 a month billed monthly. Premium costs $169 a month billed yearly for 7 workspaces and 42 channels, and it includes Report Hub with 2 branded reports per workspace. Elite and Enterprise raise that to 3 reports per workspace, and white label is a paid add-on on those two plans. Approvals route each post to the right client contact, keep an audit trail and can be requested in bulk. Client Connect comes with every plan and lets clients link their profiles without sharing passwords, and the trial lasts 14 days with no card or contract.

Cloud Campaign: Client Portal and White Label for Social Teams

Cloud Campaign pricing page with Freelancer, Team and Agency plans

Cloud Campaign was built for agencies and lists a client portal and client approvals on all three plans. Freelancer costs $49 a month, or $41 a month billed yearly, for 1 brand workspace, unlimited users and 7 social accounts per client. Extra workspaces on Freelancer cost the same as the plan itself.

Team costs $199 a month, or $165 billed yearly, for 5 workspaces, unlimited social accounts and standard white label, and extra workspaces drop to $29, or $24 on yearly billing. Agency costs $299 a month, or $249 billed yearly, and adds advanced white label, paid social reporting, client migration and single sign-on. The trial lasts 14 days, and CloudStudio, a content add-on, starts at $99 a month per workspace.

Agorapulse: Per-User Plans With Shared Profile Slots

Agorapulse prices by user, and each plan includes one user and 10 social profiles shared across the whole account. Standard is 99 a month per user, or 79 on annual billing, while Professional is 149 or 119, and Advanced is 199 or 149. Each added user costs the same as the first, and adding users does not add profile slots.

The 15-day trial runs on the Advanced plan without a card. For agencies, the per-user model fits a small team that handles inbox replies and analytics for a few large clients. Ten profiles fill up quickly once you pass three or four clients, so price the profile add-on early in the sales call.

Hootsuite Advanced: Team Approvals Inside a Large Suite

Hootsuite plans page showing Standard, Professional, Advanced and Enterprise
Screenshot: hootsuite.com

Hootsuite lists four plans priced per user on annual billing. Standard starts at $99 a month with 10 social accounts, and Professional starts at $199 with unlimited accounts. Advanced runs up to $399 and adds review and approval of content with your team, and Enterprise is a custom plan that builds on Advanced.

The 14-day trial caps posting at 10 to 20 posts a day for each organization, and bulk scheduling is turned off during the trial. Agencies that want approvals need Advanced or Enterprise, so test the approval flow with one client before you move the rest of your roster.

Vista Social: Profile Tiers for Growing Client Rosters

Vista Social social media management homepage
Screenshot: vistasocial.com

Vista Social sets its tiers by profiles and users. Professional includes 15 profiles and 3 users, Advanced includes 30 profiles and 6 users, and Scale includes 70 profiles and 10 users. On Professional and Advanced you usually move up a tier to add profiles, while on Scale you can buy extra profiles from the billing area.

Every plan has a discounted annual option, and the trial lasts 14 days. An agency with 10 clients and three profiles each would land on Advanced, so ask the sales team how approvals and client access work on that tier, since the plan article focuses on limits.

Content Snare: Collecting Client Copy and Files Before Production

Content Snare covers the step that comes before scheduling. It sends clients structured requests for text, images and documents, chases them with reminders, and stores the answers in a client portal. Agencies use it to gather product details, staff bios or brand files without long email chains.

Basic costs $35 a month billed yearly or $42 on monthly billing, with 20 active requests and 2 users. Plus costs $71 or $85 with 50 requests and 5 users, and Pro costs $119 or $143 with 100 requests and 10 users. Clients are unlimited on every plan, custom branding starts on Plus, and the trial lasts 14 days with no card.

Monthly Entry Prices When You Skip the Annual Contract

A new agency may not want a 12-month commitment, so this chart shows the lowest paid plan of each tool on month-to-month billing where the vendor lists that rate.

Bar chart of lowest month-to-month plan prices: ContentStudio Standard $29, Planable Basic $33 per workspace, Sendible $35, Content Snare Basic $42, Cloud Campaign Freelancer $49, StoryChief Starter $69 and Agorapulse Standard $99 per user

Read the labels before you compare the bars. Planable’s $33 is charged per workspace and Agorapulse’s $99 is charged per user. ContentStudio Standard and StoryChief Starter do not include approvals, so a real agency setup would start one tier higher on each of them. Gain and Hootsuite are left out because their pages show yearly rates only.

Setting Up a New Client in the First Week

The setup order matters more than the brand of tool. We use this sequence for a new client, and it works in any of the platforms above.

  1. Create the workspace first. Name it after the client’s brand and add only the people who work on that account.
  2. Connect profiles through the client. Send the Client Connect, EasyConnect or invite link so the client links their own accounts, and never ask for passwords.
  3. Write the approval rule into the contract. Pick one rule per client, such as “all posts need approval” or “campaign posts only”, and set the matching option in the tool.
  4. Set a review deadline. Agree how many working days the client has to approve, and turn on reminders if the tool has them.
  5. Load the first two weeks of posts. Keep them as team-only drafts or internal notes until your own editor has reviewed spelling, links and tags.
  6. Send one test approval. Ask the client to approve a single post so they learn the screen before real deadlines arrive.
  7. Book the first report date. Agree on a monthly report day and template, and see our guide to AI SEO reporting tools for the search side of client reports.

Blog content needs one more step, which is agreeing who publishes the final article and on which content management system. If clients ask which platform to use, our comparison of blogging platforms for businesses gives a starting list, and our roundup of WordPress AI SEO plugins covers the on-page side once a post goes live.

Permission Mistakes Agencies Make With Client Accounts

Access mistakes cause more client trouble than weak captions do, and a few habits prevent most of them.

  • One shared login for the whole team. Every tool here supports named users, and named users give you an audit trail when something goes out by mistake.
  • Freelancers with access to every workspace. Add contractors only to the workspaces they work on, and remove them on the last day of the project.
  • Clients invited as full editors. Invite clients as reviewers or approvers where the tool allows it, so they can comment and approve without being able to publish.
  • No offboarding plan. When a client leaves, export their content and analytics, disconnect their profiles and archive the workspace. Gain carries content and approval history over from the trial into a paid plan, so ask each vendor how exports work when you cancel.

Keyword plans and briefs often live outside the content tool. Keep them in the client workspace’s files or notes, and link the brief from each post. Our guide to keyword research shows the brief format we use, and writers can pair it with the drafting tools in our list of AI content creation software for blogging.
